How can I add a leased vehicle to my account?

Get your leased vehicle active as soon as possible by providing the correct documentation.

To add a leased vehicle to your Blacklane account, you'll need to upload a valid lease agreement, along with the vehicle registration. Please make sure it contains all the information listed below.

Before you upload

  • Please combine the vehicle registration and lease agreement into one single file and upload it under the Vehicle Registration document type.

  • To create a single-file document, you can use Adobe Acrobat, Mac Preview, or your device’s Print to PDF option to merge both files into one single PDF.

  • Separate file uploads can't be accepted.

  • Make sure all pages are clear, easy to read, and contain all the required information before submitting.

What should the lease agreement show?

Your lease agreement should clearly include the following:

Lessor and lessee details

The agreement should show the full names and addresses of both the lessor (the person or company who owns the vehicle) and the lessee (the person or people renting the vehicle). These details should match the official records and supporting documents.

Vehicle details

The agreement should include the vehicle make, model, year, VIN, and plate number. These details should match the vehicle registration exactly.

Lease dates

The lease should clearly show when it starts and, where applicable, when it ends. If dates appear in more than one place in the document, they should be consistent throughout.

If the lease is open-ended or rolling, it should explain how it can be ended, including any notice period.

Signatures

Both parties should sign the agreement, and the signature dates should match the agreement date or effective date.

Insurance and driver authorization

The lessee should be covered under the insurance policy.

Can a partnership agreement be accepted instead?

In some cases, yes. A partnership agreement may be accepted instead of a standard lease agreement if it:

  • Clearly states the vehicle usage or management rights

  • Identifies both parties

  • Includes valid signatures and dates

  • Defines the operational scope

  • Clearly states the duration of the agreement

Common reasons a lease agreement may not be approved

Your document may be rejected if:

  • Names, dates, or addresses do not match across the lease, registration, or insurance documents

  • Vehicle details such as the VIN or plate number do not match the registration

  • The lease period is unclear or contradictory

  • Important information is missing or left blank

  • Signatures are missing

  • The lessee is not properly covered by the insurance policy

If a document needs to be updated, you'll be asked to upload a new version in the Partner Portal and our team will review it as soon as possible.

What if my lease doesn’t have an end date?

If your lease has no fixed expiry date, it should still include a termination process or another clear way to confirm that the agreement remains valid over time. If there is no expiry date and no termination clause, you may be asked to provide additional proof confirming that the lease is still valid.

Final check before you submit

Before uploading, please make sure that:

  • The lease agreement and registration are in one combined file

  • All details match across your supporting documents

  • The document contains all the required information, is legible, and signed

  • The lease clearly supports the vehicle's use for professional chauffeur operations where required

Once submitted, the document will be reviewed and you'll be contacted by email if any changes are required.
